"We are paying for Copilot - why would we need anything else?" is a fair question, and the honest
answer is: for many teams, you do not. But Copilot and a purpose-built RAG assistant solve
different problems, and buying one expecting the other is how AI budgets get written off. Here is
the comparison we walk clients through.

## What each one is

**Microsoft 365 Copilot** is a per-user productivity layer across Word, Excel, Outlook and Teams.
It sees what the signed-in user can see in the tenant and helps that user write, summarise and
find faster. Its superpower is ubiquity: it is already inside the tools your team lives in.

**A custom RAG assistant** is a purpose-built system that answers or acts from a curated document
set - and, when needed, from systems outside Microsoft 365 entirely (ERP, ticketing, databases,
legacy file servers). You define what it reads, how it cites, when it abstains, and what workflow
runs around it.

## Where Copilot wins

- **Personal productivity, immediately.** Drafting, summarising meetings, "find the deck from March" - no project, no data pipeline, just licenses.
- **Native integration.** It is in the apps, with Microsoft's identity and permission model applied to each user.
- **One vendor, one bill.** No architecture decisions, no maintenance.

## Where a custom RAG assistant wins

- **Data beyond the tenant.** Copilot's world is Microsoft 365 plus configured connectors. If the knowledge that matters sits in an ERP, a bespoke database or twenty years of file-server archives, a custom pipeline reaches it on your terms.
- **A curated source of truth.** Copilot answers from everything the user can access - including the outdated and the contradictory. A RAG assistant answers from the approved library only, which is what you want for questionnaires, quotes and compliance answers.
- **Citations and abstention as policy.** You decide that every answer shows its source and that no-answer beats invented-answer. These behaviours are enforceable when you own the stack.
- **Workflow, not just answers.** Draft into the actual Excel questionnaire, route for approval, write back to the system of record. Copilot assists a person; an agent completes a process.
- **Cost shape.** Copilot is per user, per month, forever, for every licensed user.
